The Beginning

In 2010, a leading home care franchisor needed to improve its business operations. They were using multiple management tools for their various processes, and the tools didn’t all integrate with each other, creating time-consuming double entry of data and the potential for lost revenue. After identifying inaccurate scheduling and management of paper documentation as two of their business’s biggest costs, they started looking for a solution that would allow them to manage the whole business in one place. They needed something that would not only improve home care business operations, but also would be affordable, intuitive, and easy to implement for franchisee locations.

The more they shopped around, though, the more discouraged they became. There were many products that provided SOME of what they needed, but there was nothing on the market that provided ALL of what they needed. That was when they decided to develop their own ideal software solution, and they joined hands with Netsmartz. Netsmartz team worked to gain a deep understanding of homecare agency workflow and documentation needs. The best part of using Caresmartz is how user-friendly and intuitive it is. Also, I love that you set up the schedule once for a client and don't have to keep "building" schedules each week. I love the messaging feature where you can send a message to a caregiver via either text or email or both and that message and their reply gets automatically stored in their electronic file in Caresmartz.

I do like that I can access our information from wherever I am, whether at work, home, or out and about on call, since we serve clients 24 hours a day, 7 days a week. The client assessment is mostly thorough and our employees in the field can access this and their schedule whenever they need to versus relying on a printed version. Overall, it was easy to learn and is very user friendly. Billing and payroll is straightforward and easy to customize. The new reports are also pretty robust. Love Caresmartz360 as our saviour

When I started at my new company 8 months ago there was not a scheduling software in place. I tested several different software companies and options and found that Caresmartz offered the most and was considerably easier to use than most. I love how easy it is to utilize the software; after using another scheduling software for almost 4 years I was very worried that my transition to Caresmartz would be difficult but I was pleasantly surprised. The customer service team that helped me from the beginning till present is amazing, extremely helpful and patient. Scheduling at ease makes my life as an Office Manager and Care Coordinator run much smoother. I love the feature that allows me to message all of my Caregivers at once which saves me a ton of time that I could use doing other things in the office. I also like that I am able to utilize the software from my phone while on the go, because as we all know, this job keeps you on the go!

It is very user friendly. I've been able to train office staff very quickly. Caresmartz has helped our business grow with the all inclusive attributes: scheduling, telephony (clock ins/outs), billing, payroll, family room, payment processing, EVV. The shift reminders and the clock in reminders allow us to be proactive versus reactive. This is so important for us so that we can stay on top of the care that our clients are receiving...nothing is worse than a client calling and saying that caregiver didn't show up. If we see that a caregiver didn't clock in within 10 minutes, we are calling to find out where the caregiver is at and then if needed, we call our client/client's family to let them know what is happening and already finding a replacement if needed. They know that we are looking out for them. I believe it sets us apart from our competitors. From the get go (onboarding) and any continued needs from customer service, has always been handled with a positive, friendly, and helpful attitude! In addition, I love that they are constantly looking at improving; implementing new and more efficient ways of doing business. A recent innovative change has helped decrease multiple steps in finding care (First Come, First Serve). There was little learning curve to it because it is almost too intuitive...but our care coordinators love using it now!

There are great opportunities to streamline and maximize efficiencies in our workflow; I'm seeing a bright future with developing opportunities to support quality, human resources and risk management through the Caresmartz360 platform. We onboarded in a hurry, without dedicated staff while Caresmartz team was in an earlier growth phase. The benefits I am bringing to my agency is a more organized system allowing us more time to focus on our clients we are caring for. I love the HR part of the software helps me spend less time creating invoices, tracking timesheets.

I loved how the software is designed for you to access it from anywhere. It is very compatible with tablets, computer, and smartphones. The software is easy to navigate through, I enjoy the clock in & clock out the system for caregivers and client portal making it more flexible for caregivers to track their schedules, vacations, time off request and available shifts.

I have been in the home care business for 12 years and have used different software packages. I initially decided to use Caresmartz because we had issues with exporting information from our current software to Quickbooks. Happy to say after 3 years, no issues with exports from Caresmartz. There are so many features that we use, and this is the easiest scheduling software we have used. This has been a wonderful company to work with. They listen to the end user and make improvements to the software based on comments from the users. My staff and I really could not be more happy with this product. I would recommend it to any home care business.....and I have.

I have been with Caresmartz for a while and am very happy with my decision to leave my previous scheduling platform. What prompted the move was a lack of communication from my previous vendor. What made me choose Caresmartz over the other platforms I was exploring was the fact that the system allows for my staff to be more self-sufficient, thus taking strain off my office. Before Caresmartz , we were using multiple platforms for various purposes- one for scheduling, another for telephony, a website for charting visit notes, etc. The move to Caresmartz has drastically cut down a lot of my time spent on administrative tasks. Caresmartz is also very responsive regarding inquiries and action items, and I love how they seek customer feedback on future planning and innovation.

I had my first WOW moment with Caresmartz when I was setting up my very first client. I realized how seamless everything was working and was very happy with my decision.

Customer support is a dream to work with and the onbaording experience was simple as a new business.

Caresmartz has helped grow my business by the amount of detail in the reports. Keeping up to date on the details keeps me in the drivers seat of my business.

The amount of time we save on scheduling lets us use that time elsewhere and that money can be spent on other items like marketing.

The thing I like the most about Caresmartz is their constant innovation. They are always rolling out new features by listening to their customers. I would highly recommend them!

I switched to Caresmartz from a platform I'd used for over 10 years largely because the scheduling piece was very intuitive and user friendly. I remember seeing a shift that was moved using click and drag-just like you would see on a Google Calendar and I was so impressed.
My favorite feature would have to be search! I love being able to quickly search for a client, caregiver, contact, or referral source quickly and easily. Since we've been on the Caresmartz platform we've added payment processing and it's been great for our DSO.
Caresmartz's customer service is very responsive and they are taking a great platform and making it better every day!

We chose Caresmartz360 after evaluating several platform options. Caresmartz met all 'must have's' and more. Love the webbased, mobile friendly platform that manages all workflows from marketing to caregiver application and management and telephony to carerecipient scheduling, invoicing, accts receivable. All at a very reasonable cost. And so much more!

Our Caresmartz WOW moment was almost immediate when we realized the timesavings and accuracy.

Customer support both online and direct has been surperb. All issues and questions have been resolved the same day.

Onboarding was fast and seamless with no disruption to quality or service.

Caresmartz360 is an extremely efficient way to run a home care agency. You can do all your functions from this software program. Its easy to navigate around, has a help section and offers a wide variety for you to customize to your needs. I love the mobile aspect , reporting and how they are constantly making changes to improve.

I love the clock in method, I love that it is user friendly. Family members that are not good with technology can still use this product without trouble. This is exactly what we were looking for. i love the tracking aspect of the software. I am more confident knowing where my aides are. I love that Caresmartz is growing with technologically than staying behind. I love the clock in application of the caregivers phones.

First off, Caresmartz was easy to learn and get started on - their customer support was excellent in helping us migrate our data over and learn the processes of scheduling, charting, payroll processing, and billing. The platform is clean and modern looking, without too many tabs or graphics to clutter the page, so it was easy for our staff to learn how to navigate. Caresmartz also allows us to run reports on everything from caregiver visits to financial stats, which is an easy way to view how our agency is progressing. Our caregiving staff also enjoy using Caresmartz, as it is easy to log into from any phone or device, since it a web-based program.

I really appreciate the detail that Caresmartz goes into to ensure a smooth going experience. I am a very visual person and I appreciate that Caresmartz360 has a very simplified way of organizing everything, even with color coding. Customer support is always there for me if I have a question about something and always has a quick solution for me so I can get back to work!

I have been using Caresmartz for about 1-1/2 years. I have used 2 other systems prior to Caresmartz. It is by far the superior system. After seeing a demo of it capabilities I saw how much easier and intuitive it is compared to the other systems I have used. Not only has Caresmartz continued to provide a great user experience but it has also proven to be much more stable. Probably my biggest complaint with the other systems was the lack of reliability. That has never been an issue with Caresmartz. The other HUGE advantage is their customer service. It has been second to none and it started with my on-boarding experience. I had a dedicated on-boarding specialist assigned to my account. We had regular meetings to discuss our progress and to address any issues that came up. He was very knowledgeable and proactive. He usually had things done before I even knew it might be an issue. That high level of support has continued to this day. In addition, Caresmartz is constantly developing new ways to make our experience better. The fact that the system is so user friendly and intuitive has allowed me to continue to add clients and caregivers while minimizing the impact on my office staff making us much more efficient. They also provide information about trends in our industry and access to organizations that might help me grow my business. They have truly become a partner in running my business. I would strongly encourage other agencies to give them a try. You won't be dissapointed.

Caresmartz has been such a positive force for our Agency! Less time spent on checking and verifying each and every paper activity sheet!! Seemless flow of information to from staff, family members, Consumers and Support Coordination Entities. We changed from an extremely expensive [charge per call] system to Caresmartz and never regretted the decision. This is an all inclusive package at an extremely excellent cost. All documentation in one place! Our state survey teams find it to be an easy to research system, and we do want the survey teams to be Happy:) The customer service department is awesome! The onboarding process was fast and accurate. We utilize all the features offered and the best thing is that there are always new features being developed and implemented based on our needs.

Our Home Care agency is a medium-sized non-profit Home Care provider (300 clients) in the Northwest. Two years ago we moved to Caresmartz after struggling with an antiquated telephony system, and many failed attempts to find a Home Care program management system that took full advantage of cloud computing and mobile technology. Caresmartz has done all that and more--it has provided us with the opportunity to reach more clients with fewer staff, with much greater integrity and thoroughness. It is difficult to overstate the magnitude of the change--for the first time we were able to track caregiver activities in real-time, to communicate with them easily and generate dozens of reports with a click of a few buttons. I have been most impressed with their customer service and responsiveness--they seem to understand that a product like Caresmartz defines an entire agency's workflow and culture, and have worked hard to understand our specific needs and create a sense of community among Caresmartz providers. I can't recommend their product highly enough.

from Elder home care

Compared to our previous software....this software helps tremendously in time savings and in cost savings on the bottom line because errors are fairly easy to find when they are made. I can't imagine doing business with our previous software system anymore....it would not have been possible to grow our business as we have with Caresmartz360.

It is very user-friendly. I've been able to train office staff very quickly. Caresmartz360 has helped our business grow with the all-inclusive attributes: scheduling, telephony (clock ins/outs), billing, payroll, family room, payment processing. The shift reminders and the clock in reminders allow us to be proactive versus reactive. This is so important for us so that we can stay on top of the care that our clients are receiving...nothing is worse than a client calling and saying that caregiver didn't show up. If we see that a caregiver didn't clock in within 10 minutes, we are calling to find out where the caregiver is at and then if needed, we call our client/client's family to let them know what is happening and already finding a replacement if needed. They know that we are looking out for them. I believe it sets us apart from our competitors. From the get-go (onboarding) and any continued needs from customer service, has always been handled with a positive, friendly, and helpful attitude! In addition, I love that they are constantly looking at improving; implementing new and more efficient ways of doing business. A recent innovative change has helped decrease multiple steps in finding care (First Come, First Serve). There was a little learning curve to it because it is almost too intuitive...but our care coordinators love using it now!
