Admin setup is where most CRMs quietly lose you, and Insightly is the first one I've found that actually doesn't. Three years ago I inherited a contacts database living across four spreadsheets and a shared inbox. Getting Insightly configured to match how my company actually works, custom fields, pipeline stages, user roles, the lot, took me a weekend. That's it. One weekend. The permissions model is clear enough that I can hand a new salesperson a login with exactly the access they need without worrying they'll accidentally nuke a pipeline someone's been nurturing for months.
What I appreciate most day-to-day is the flexibility for a team our size. We've grown from twelve people to just under forty since I set this up, and adjusting permissions as roles changed has been genuinely low-friction. Onboarding new users takes maybe twenty minutes once I've scoped their access level. The G Suite integration also keeps things tidy on the admin side, so I'm not manually syncing calendars or chasing people to log emails. It mostly just happens.
The one area where I'd push Insightly to do better is the role hierarchy. Right now the permission tiers feel a bit blunt for a team that has grown into more nuanced internal structures. I'd love a middle tier between the standard user and admin that lets me delegate some configuration tasks without giving someone full admin rights. Customer support has been fine when I've raised this, responsive and friendly, but after three years the feature request hasn't landed yet. Still, for a growing startup that wants a CRM that won't fight you on the basics, this is a solid pick.
