Setting up user permissions in a growing startup is the kind of task that either goes smoothly or eats your entire afternoon. With Zoho Projects, it went smoothly. I was genuinely surprised. About six months ago, I inherited the job of configuring the whole environment for a team that had ballooned from twelve to thirty-odd people, and the role-based permission structure gave me enough granularity to keep sensitive budget information away from contractors without locking everyone else into a read-only nightmare. Project-level vs. workspace-level controls are clearly separated, which sounds obvious but a lot of tools in this space blur that line badly.
The admin panel itself is tidier than I expected for a product at this price point. Onboarding new members in batches, assigning them to the right projects, and configuring what they can and can't touch took me maybe twenty minutes per cohort once I had the template sorted. The document management permissions also tie in neatly, so I didn't have to manage access in two different places. That kind of consistency across modules matters when you're moving fast and don't have a dedicated IT person.
The one genuine frustration is the notification settings. As an admin I can nudge defaults, but I can't enforce them. Every new user lands with a noisy alert setup and promptly floods their inbox, then blames the tool. I'd love a hard override option at the org level. That aside, Zoho Projects has handled the configuration demands of a quickly scaling team better than I expected, and the value at this tier is hard to argue with.
